☑️ Resolves

User Manual counterpart to #15421.

Refines the User Manual documentation for deleted files and storage quotas in Files & synchronization --> Managing your files.

The existing chapters covered many of these topics, but some descriptions were incomplete, imprecise, unclear, or no longer aligned with the current files_trashbin behavior. These changes refine and align the documentation with current behavior, especially around quota calculation, retention policies, and shared-file handling.

Changes:

  • Clarify deleted-file quota handling, including the default trash-bin limit of 50% of remaining quota space and the available-filesystem-space fallback for accounts without a quota.
  • Refine the explanation of retention periods, space-triggered cleanup, automatic expiration, and administrator-configured overrides.
  • Clarify restore behavior, including fallback to the Files root and unique names when necessary.
  • Refine the description of deleted shared files, including owner and deleting-user behavior and the best-effort nature of the deleting user's trash-bin copy.
  • Improve the organization of the quota chapter by separating general quota rules from deleted-files-specific guidance.
  • Update related quota guidance for shared files, encrypted files, versions, and public shares with uploads.
  • Link to the Administrator Manual for detailed trash-bin configuration.

  • Confirm/decide whether safe to backport to as-is and, if so, to what what major version(s)
